How to Change Your Business Name in Ontario: The 2026 Complete Guide

Rebranding is an exciting milestone. It represents growth, a shift in vision, or a fresh start. But in Ontario, “changing a name” isn’t as simple as updating your website.

As of February 23, 2026, the provincial government officially transitioned all business filings to the new Ontario Business Account (OBA). With this change came mandatory Multi-Factor Authentication (MFA) and a stricter reliance on the 9-digit Company Key.

At Ontario Business Central, we know you want to focus on your new brand, not on government login errors. Here is how to navigate the process for your specific business type.

1. Changing a Corporate Name (Articles of Amendment)

If your business is an Ontario Corporation, you can legally change the business name while keeping your original Ontario Corporation Number (OCN) and business history intact.

The “Risk-Free” NUANS Advantage

A NUANS report is a mandatory 5 page document that ensures your new name isn’t “confusingly similar” to an existing corporation. At OBC, we offer the NUANS report within the Articles of Amendment package but if you want to get the ball rolling, you can order the preliminary search or NUANS report in advance and add it into your package later.  We offer the following DIY and helping hand approaches:

  • Self-Serve or Assisted: Perform an instant preliminary search on our site 24/7, or have our staff conduct the search for you and send the results directly to your inbox.
  • The OBC Guarantee: If you work with our team and your proposed name isn’t available, you can provide a new business name at no additional cost. We ensure the name is “clear” before we order the official NUANS report.

Our Expert Review Process

Once a name is confirmed as available, we handle the technical heavy lifting:

  • Professional Preparation: Our team prepares the Articles of Amendment using your specific details.
  • Human-Led Safety Net: If we identify a potential error, our team will reach out to you personally by email to assist.
  • Final Approval: We send the drafted articles to you for review. We only submit to the Ministry once you are 100% satisfied.

2. Changing a Business Name (Sole Prop & Partnerships)

Can I change the name of a Sole Proprietorship in Ontario? No. Under the Business Names Act, the name is the registration. To change it, you must file a “Cessation of Business Name” to close the old record and then complete a “New Registration” for the new name. This is, if you have decided to close the current registration where you are putting a stop to that business name and beginning with a new business name. If you wish to carry on and operate both business names, you can absolutely do that.

The New Registration Path

  • Quick Access: We provide rapid registration for your new name so you can start using it immediately.
  • Managing the Transition: You can choose to keep your existing registration active during a transition period or have us formally close/cancel the old name to keep your records clean.

3. Navigating the 2026 “Ontario Business Account”

As of February 2026, the provincial government moved to the Ontario Business Account (OBA) system. This requires a 9-digit Company Key and Multi-Factor Authentication (MFA).

The OBC Advantage: As an authorized intermediary, we interact with the registry on your behalf. We resolve Company Key issues and ensure your filing is processed without you having to navigate the technical OBA login requirements yourself.

Your “New Name” Success Checklist: What to Do After Filing

Congratulations! Your name change is official. But before you swap out the signage, there are a few essential administrative steps to ensure your business transition is smooth and compliant.

Once your filing is approved, complete these essential steps:

1. Update the Canada Revenue Agency (CRA)

The Ontario Business Registry does not automatically notify the federal government. You must contact the CRA to update your Business Number (BN) records.

  • Corporations: Call 1-800-959-5525 to update your corporate tax (RC), GST/HST (RT), and Payroll (RP) accounts.
  • Sole Props/Trade Names: You may need to add the new “Operating Name” to your existing account.

2. Contact Your Financial Institution

Banks are strict about legal names. To update your business bank accounts, credit cards, and merchant processing (like Shopify or Stripe), you will need to provide:

  • For Corporations: Your new Certificate of Amendment.
  • For Business Names: Your new Master Business License / Business Name Registration.

3. Notify WSIB & Revenue Québec (if applicable)

If you have employees, you must update your account with the Workplace Safety and Insurance Board (WSIB) within 10 days. You can typically do this by emailing your new documents to employeraccounts@wsib.on.ca. If you operate in Québec, don’t forget to update Revenu Québec as well.

4. Update Your Business Insurance

Your insurance policy is a legal contract. If the “Named Insured” doesn’t match your new legal name, it could complicate a future claim. Call your broker to issue an endorsement reflecting the change.

5. Refresh Your Internal Corporate Records

For corporations, a name change is a significant “Corporate Action.”

  • Minute Book: File a copy of your Articles of Amendment in your Minute Book.
  • Share Certificates: While not always mandatory, many owners choose to issue new share certificates reflecting the new corporate name.
  • Resolutions: Ensure you have a signed Director’s Resolution on file authorizing the name change (OBC can provide templates for this!).

6. The Digital Switch

Finally, the fun part! Audit your digital presence to ensure your new brand is consistent:

  • Update your Google Business Profile.
  • Change your email signatures and “From” display names.
  • Redirect your old domain name to your new one to save your SEO rankings.
  • Update your invoicing software templates so customers aren’t confused by “old” branding on their bills.

Frequently Asked Questions

Do I Need a New Business Number (BN) From the CRA if I Change My Name?

For Corporations: Usually, no. Your corporation remains the same legal entity, just with a new name. You keep your 9-digit Business Number, but you must notify the CRA so they can update their records to match.

For Sole Proprietorships: Since you are registering a new business name, you should contact the CRA to see if a new BN is required or if the name can be added to your existing account.

What is a “NUANS Preliminary Search” vs. An Official Report?

A Preliminary Search is a quick way to see if your name is already in use. We perform this for you first. The Official NUANS Report is the 5-page legal document required by the Ministry. By doing the preliminary search first, we ensure you don’t pay for an official report on a name that is guaranteed to be rejected.

I Lost My 9-digit Company Key. Can I Still Change My Name?

Yes, but it adds a step. The 2026 Ontario Business Account (OBA) requires this key. If you don’t have it, we can assist you in retrieving or resetting it.

Can I Just Use a “Trade Name” Instead of Changing My Corporate Name?

Yes. Many corporations keep their legal name (e.g., 123456 Ontario Inc.) and register a Trade Name (e.g., Green Tech Solutions).

  • The Pro: It’s faster and cheaper than Articles of Amendment.
  • The Con: A Trade Name does not have the same level of “name protection” as a Corporate Name.
