To register a vehicle under your business, you will need a few things including a copy of your articles of incorporation or registration and two pieces of proof of business address.

The process for registering a new car under your business in Ontario involves several steps. All businesses, whether they are registered in Ontario or Extra Provincially registered in Ontario, must comply with these requirements.

New Digital Dealership Registration (DDR) Steps

Ontario has introduced the Digital Dealership Registration (DDR) program, which allows participating dealerships to complete most of the registration process for you. This can save your business a trip to ServiceOntario.

Step 1: Confirm The Dealership Participates In DDR

Ask the dealership whether they are part of the DDR program. Not all are. If they participate, they can handle your vehicle registration digitally.

Step 2: Provide Your Business Documents to the Dealer

The dealership will need the same documents required at ServiceOntario, including:

  • Articles of Incorporation or Business Name Registration
  • Two proofs of business address
  • Business insurance for the vehicle
  • Existing RIN (if your business already has one)

If your business does not yet have a RIN, the dealership can initiate the process for ServiceOntario to create one.

Step 3: Dealer Completes the Digital Registration

Through the DDR system, the dealership can:

  • Register the vehicle under your business
  • Assign or transfer plates
  • Submit your documents electronically to the MTO
  • Issue a temporary permit confirming registration

Step 4: Receive Plates Immediately

Most DDR-enabled dealers can provide plates at the time of sale or attach existing commercial plates.

Step 5: Only Visit ServiceOntario If Additional Documents Are Required

Most business purchases through DDR are completed entirely at the dealership. You only need to visit ServiceOntario if the business documents require further verification.

Provide Identification For the Business/Corporation

The first requirement for registering a vehicle under your business name is to provide a valid form of identification for your business or corporation. This can be one of the following: providing the original documents or obtaining a copy by completing a corporate search if you don’t have a copy available. The specifics of what is required is as follows:

  • Articles of Incorporation: This document serves as proof that your business is legally incorporated and provides the necessary details about your business’s legal structure.
  • Business Name Registration: If your business is not incorporated, you can use the business name registration document to establish your business’s identity.

These documents verify that the business exists and is legally recognized in Ontario.

Provide Proof of the Business Address in Ontario

In addition to business identification, you must also provide two documents that prove the business’s address in Ontario. These documents must show a direct connection between the business and the address provided. Acceptable documents include:

  • Utility Bills or Other Bills for the Business Location: These could be electricity, water, or other utility bills that are addressed to your business at its Ontario location.
  • Municipal Business License: A license issued by the local municipality that confirms your business is authorized to operate at the specified address.
  • Trade Name Registration for Corporations: For corporations using a trade name, the registration document showing the trade name and address can be used. In a circumstance where you are not able to provide two forms of proof of address, you can complete a trade name registration under your corporation to provide one of the two forms of address verification.  

These documents are essential for verifying that the business has a physical presence in Ontario, which is a requirement for vehicle registration.

Additional Requirements & Considerations to Register Your Vehicle Under a Business

When registering a vehicle under your business, keep in mind the following:

  • Insurance Requirements: Ensure that the vehicle is insured under the business’s name before completing the registration. This is a legal requirement in Ontario.
  • Ownership: The vehicle ownership document will list the business as the owner, so it’s important to use the correct business name as it appears on your legal documents.
  • Leasing vs. Buying: If you are leasing the vehicle, ensure that the lease agreement is in the business’s name and that the leasing company provides the necessary paperwork for registration.

Completing the Registration For Your Vehicle

Can a Sole Proprietorship Register a Vehicle Under the Business Name?

Is Insurance Required Before Registering the Vehicle?

Yes. This is treated like any other ownership transfer. If the vehicle is used, a Safety Standards Certificate may be required unless exempt.

Does DDR Apply to Used Vehicles?

DDR is generally used for new vehicles and certain used vehicles sold by participating dealerships.
If you’re buying privately, you must complete the registration at ServiceOntario.

Can a Leased Vehicle Be Registered Under a Business Name?

Yes. The lease agreement should list the business as the lessee, and the leasing company will provide the required documents to complete registration.

Do I Need a Safety Standards Certificate For A New Vehicle?

No. Safety Standards Certificates are only required for used vehicles.

Can The Dealership Issue Plates if They Use DDR?

Yes. DDR dealerships can issue plates or attach existing commercial plates immediately as part of the registration process.

What If My Business Address Recently Changed And I Do Not Have Two Proofs Yet?

You can update your registration or incorporated company documents address and obtain the results on the same day to provide the dealership. Some businesses also obtain a notarized statement if needed.
