What's Included In An Ontario Profile Report

Five categories of public-record data on every corporation or registered business

Current Status

Active, dissolved, terminated, or in default - confirmed against the live Ministry Registry.

Registered Office

Full legal address where the business operates and accepts service of court documents.

Directors & Officers

Name and addresses of directors and officers currently on file with the Ministry.

Activity History

Date of incorporation, recent filings, and any historical name changes the corporation has used.

Document List

A list of all historical filings; Articles of Amendment, Annual Returns, Notices of Change, etc.

When Do You Need A Profile Report?

The five most common scenarios where lawyers, lenders, and businesses order Profile Reports

Legal & Litigation

You need the correct legal name and registered office address to issue a legal notice or file a small claims claim. Profile Reports give the official "Address for Service" of court documents.

Real Estate & Banking

Verify which directors or officers actually have signing authoirty for a corporation. Banks and lenders require this confirmation before approviing major transactions or new accounts.

Contractor Verification

Confirm a company is still "Active" before paying a deposit, signing a contract, or relying on warranty terms. Catches dormant or recently dissolved entities.

Court Service & Small Claims

Process servers and small claims filers need the registered office address for service of court documents. The October 1st, 2025 small claims threshold raise to $50,000 has dramatically increased Profile Report demand for this purpose.

Competitor & Due Dilligence Research

See when a competitor was incorporated, who their current directors are, and what filings they've made. Useful for M&A targeting, market research, and acquisition dilligence.

How OBC Compares To Other Filing Services

Comparison across speed, account requirements, and total pricing

Provider Turnaround Account Required Bulk Orders Approx. Total (Ontario)
Ontario Business Central 30 Minutes No Login Required Yes, all customers $82.47 (incl. all fees + HST)
ESC Corporate Services 2-4 hours typical Account setup required Law firm acounts only ~$90-$120
Dye & Durham / Cyberbahn 1-3 hours typical Account setup required Law firm acounts only ~$90-$140
OnCorp Direct 1-2 hours typical Account preferred Yes ~$75-$110
ServiceOntario Direct (DIY) Variable OBR account required No $8 gov fee only

Why OBC has the speed advantage: Most filing services batch their requests or process them only during specific intake windows. OBC's real-time access to the Ministry registry means most Profile Reports are pulled the moment your order is reviewed, typically within 30 minutes during busines hours. The "no login required" path elimates the friction that ESC and Dye & Durham impose on retail customers needing one-off reports.

Frequently Asked Questions About The Corporate Profile Report

Quick answers to the most common questions about Ontario and Canadian Profile Reports

What Is Included In An Ontario Corporate Profile Report?

An Ontario Profile Report (also called a Corporate Search) provides the full public record for any entity registered under the Ontario Business Corporations Act or Business Names Act. It includes: current status (Active, Dissolved, or Terminated), registered office address, directors and officers (names and addresses), incorporation date and activity history, and a list of all historical filings (Articles of Amendment, Annual Returns, Notices of Change, etc.).

Does A Profile Report Show The Owners (Shareholders) Of A Corporation?

In Ontario, Profile Reports show only the directors and officers, not the shareholders. Private corporation shareholder information is generally not part of the public record in Canada. If you need shareholder information, that typically requires the corporation's internal Minute Book records or a court order in litigation contexts.

How Recent Is The Data In A Profile Report?

Reports are pulled live from the Ontario Business Registry at the moment of your order. You receive the most up-to-date information currently on file with the Province of Ontario. The PDF includes a timestamp showing when the data was retrieved.

What's The Difference Between A Profile Report And A Certificate Of Status?

A Profile Report provides the full public record, directors, officers, registered office, status, and complete filing history. A Certificate of Status is a single-purpose document that confirms only whether a corporation is currently Active. For most due diligence purposes, you want the Profile Report. For banking or legal transactions confirming good standing, you may need both, they can be ordered together on the same form.

Can I Search A Sole Proprietorship Or Trade Name With A Profile Report?

Yes. Ontario Business Central can pull Business Names Reports for Sole Proprietorships, General Partnerships, Trade Names, and Master Business Licences registered under the Business Names Act. The report contains the registered owner information and business details on file with the Province.

Can I Search Businesses Outside Ontario?

Yes. Ontario Business Central provides Profile Reports across all Canadian provinces and Federal corporations through Corporations Canada. Select your jurisdiction in the order form (Ontario, BC, Alberta, Saskatchewan, Manitoba, Quebec, New Brunswick, Nova Scotia, PEI, Newfoundland and Labrador, or Federal). If you're unsure where a business is registered, our team can confirm and adjust the order.

What If The Business Has Changed Its Name Over Time?

The Profile Report will reflect the current legal name and will include a record of any previous legal names the corporation has operated under. This is useful when confirming whether two business names refer to the same legal entity, or when researching a company's history through corporate name changes.

Can I Order Multiple Profile Reports In A Single Transaction?

Yes. Use the "Add Another Search" button on the order form to add multiple corporations to a single order. This is commonly used by law firms, accounting offices, and corporate due diligence teams. For 5 or more reports, contact our team for bulk pricing options. The Matter and Client File fields can be used by law firms for internal billing reference.

Is The Profile Report A Certified Copy?

The standard Profile Report delivered electronically is the official Ministry document with the digital identifier — accepted by all major Canadian banks, law firms, lenders, and courts. This is the same document the Ministry would issue directly.

What Are Your Business Hours For The 30-minute Turnaround?

The 30-minute turnaround applies during standard business hours (Monday to Friday, 9:00am to 5:00pm EST). Orders placed outside business hours, on weekends, or on statutory holidays are processed first thing the next business day. For time-sensitive transactions, place your order as early in the day as possible to allow for any verification or address corrections that might be needed.
